Office Lens (“we,” “us,” “our”) built the File Manager app as a free application. This Service is provided by Office Lens at no cost and is intended for use as is.
This page informs you of our policies regarding the collection, use, and disclosure of information when you use our Service, and the choices you have associated with that data.
Storage and File Access
File Manager is a file management application. To provide its core functionality — browsing, organizing, searching, and cleaning up files stored on your device — the app requests All Files Access (manage external storage) on Android 11 and above, and broad storage read/write permissions on earlier versions.
This access is used only to display, organize, move, copy, delete, and search files that already exist on your device, at your direction.
Your files, file contents, and folder structure are never uploaded to our servers or to any third party. All file browsing, organization, and on-device search happen locally on your device.
We do not read, transmit, or retain the contents of your personal files outside of your device.
On-Device AI Features (“Ask AI”)
The app includes an on-device search feature (“Ask AI”) that helps you find files using natural-language queries and on-device text recognition (OCR) for images and documents.
Ask AI is off by default. It does not index, scan, or read your files until you explicitly turn it on from the Ask AI setup screen. No indexing or background processing begins before you give this consent.
Ask AI is fully offline and on-device. All text recognition, indexing, and search processing happens locally on your device. We do not offer, and are not planning to offer, any cloud-based or server-side AI processing — no file content, OCR text, file names, folder paths, or search queries are ever sent to our servers or to any third-party AI service.
The on-device text recognition model is downloaded and run through Google's ML Kit / Google Play Services, which processes images locally on-device rather than sending them to a server.
You can delete everything Ask AI has learned at any time. Go to Settings > AI & Privacy and choose “Wipe what it learned” to permanently clear the on-device search index and your saved Ask AI questions from your device.
Information We Collect
Log Data
When you use our Service, in case of an error, we collect data and information (through third-party products) on your device called Log Data. This Log Data may include information such as your device's Internet Protocol (“IP”) address, device name, operating system version, the configuration of the app when using our Service, the time and date of your use of the Service, and other statistics.
Analytics
We use Firebase Analytics to understand aggregate, anonymized usage patterns — such as which screens are opened, which features are used, and how often errors occur — so we can improve the app.
Analytics events are limited to counts, durations, feature/action names, and device tier — file names, file paths, folder names, and search queries are never included in analytics events.
We do not use analytics to identify you personally.
Crash Reporting
We use Firebase Crashlytics to automatically detect and report app crashes and errors, so we can fix bugs and improve stability. Crash reports may include device information, app version, and technical details about the error (such as a stack trace), but do not include your file contents, file names, or search queries.
Remote Configuration
We use Firebase Remote Config to remotely enable, disable, or adjust certain app features (for example, turning a feature on or off for a group of users) without requiring an app update. This involves your device periodically checking in with Firebase's servers to retrieve configuration values; it does not transmit your files or personal data.
Location
The Application does not gather precise information about the location of your mobile device.
Advertising
We may display advertisements within the app through Google AdMob to support the free version of the Service.
AdMob and its partners may collect and use device identifiers (such as the advertising ID), general device information, and usage data to serve and measure ads, and may use this data to personalize ads based on your interests where permitted.
You can opt out of personalized advertising through your device's ad settings (e.g., Settings > Google > Ads > Opt out of Ads Personalization on Android).
We do not share your file contents, file names, or search queries with advertising partners.
(Note: advertising is planned for an upcoming release and may not yet be active in the current version of the app.)
Third-Party Service Providers
We may employ third-party companies and individuals for the following reasons:
To facilitate our Service (Google Play Services);
To provide analytics on how our Service is used (Google Analytics for Firebase);
To monitor and resolve technical issues (Firebase Crashlytics);
To remotely configure app features (Firebase Remote Config);
To display advertisements (Google AdMob).
These third parties have access to your data only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose. Each provider's own privacy policy governs how it handles the limited data described above:

Data Retention
We retain the limited log, analytics, and crash data described above only for as long as necessary to provide and improve the Service, and for a reasonable time thereafter for diagnostic and legal purposes. We do not retain copies of your files, as your files are never transmitted to us.
Data Sharing and Disclosure
We do not sell your personal data. We may disclose aggregated, anonymized data to the third-party service providers listed above solely to operate the services described in this policy. We may also disclose information where required by law, to protect the rights, property, or safety of Office Lens, our users, or others, or in connection with a merger, acquisition, or asset sale, subject to this policy's protections continuing to apply.
Security
We value your trust in providing us your information, and we strive to use commercially acceptable means of protecting it. Because the app's core design keeps your files and search activity on your device rather than transmitting them to us, the majority of your data is never exposed to network transfer in the first place.
Children's Privacy
This Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from children under 13. If you are a parent or guardian and are aware that your child has provided us with personal information, please contact us so that we can take the necessary action.
Your Choices and Rights
You can stop all collection of information by the app by uninstalling it.
To request access to, correction of, or deletion of any data we hold about you, contact us using the information below.
You may disable analytics/crash reporting collection where your device or regional settings provide that control.
Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last Updated” date above.
